POST TITLE: Office Assistant

DIVISION:     Multilateral Affairs

SALARY BAND:   B2 – Step 2

DUTIES & RESPONSIBILITIES

 

  1. Receiving and advising telephone and personal callers; interviewing them on the nature of their business, conveying answers where applicable and relaying messages in the absence or unavailability of the supervisor.
  2. Answering routine correspondence/drafting letters, note verbale, memos and e-mails.
  3. Scheduling engagements and appointments.
  4. Setting up and maintaining filing system and other records system manually and electronically.
  5. Drafting Diplomatic Notes and organizing programs as and when require
  6. Documentation reproduction/printing of documents/compiling of country briefs.
  7. Preparing programmes and making hotel reservations for incoming missions as and when requested.
  8. Conducting basic research on issues as directed by the Director/Director General.
  9. Have an overall knowledge of the respective dossiers that officers are working with and be in a position to advise accordingly

 

MINIMUM QUALIFICATION

Advanced Diploma in Office Management and Administration or;

Diploma in Office Management and Administration/Diploma in Secretarial Studies

Certificate in Office Management/Certificate in General Management plus certificate in typing or word processing or equivalent
